ISO 41001 was developed by the International Organization for Standardization (ISO) and is an international standard specifying the general requirements for developing, implementing, and continuously improving a Facility Management (FM) System. The standard helps businesses and organizations enhance the efficiency of their facilities, effectively manage support services, and create a safe, healthy, and productive work environment.

ISO 41001 can be applied by any organization, regardless of size or industry, that is responsible for managing facilities and infrastructure. It is geared toward facility management service providers, industrial plants, office buildings, educational institutions, and any organization aiming to improve the functionality of its facilities.

Developing a Facility Management System according to ISO 41001 involves the following steps:

  • Analyzing the facility needs and user requirements
  • Developing and implementing strategies and procedures for the efficient operation and maintenance of facilities
  • Managing support services such as cleaning, security, equipment maintenance, and energy efficiency
  • Training personnel in facility management best practices and workplace management
  • Continuously evaluating, reviewing, and improving the system by using performance indicators and conducting inspections

The complexity of ISO 41001 implementation depends on the size of the organization, the complexity of its facilities, and the level of facility management services already in place. Businesses that have existing facility management processes can more easily adapt to the standard’s requirements. Working with specialized consultants can make the process smoother and ensure optimal facilities management.

Several certification bodies in Greece are accredited by the Hellenic Accreditation System (ESYD) or equivalent organizations to issue relevant certificates, depending on the company’s activities. The certification process involves evaluating the company’s compliance with its facility management procedures, assessing the Facility Management System against the standard’s requirements, and reviewing its practical implementation.

 

Upon successful completion of the assessment, the Certification Body issues a Certificate of Conformity valid for three years. In the event of significant deviations, corrective actions must be completed by the company before the certificate is issued. Minor deviations should be resolved by the next assessment.

The certificate remains valid as long as scheduled periodic assessments are carried out by the Certification Body—at least once a year—confirming continued compliance with the specified requirements.
